PDF and photo size limits for online application forms

Useful Hacks Team·

The short version: read each upload field's limit separately, then use Compress PDF for the document and Resize Image for the photo and signature. Most document limits (1–2 MB) are easy to hit with a scanned PDF.

Read the requirement carefully

Application portals almost always have three separate limits:

  • Document / certificates (PDF): commonly 1 MB or 2 MB, sometimes 500 KB.
  • Photograph (JPG): often 50–200 KB, with dimension and aspect-ratio rules.
  • Signature (JPG): frequently 10–50 KB.

Trying to force everything under the smallest number is a common mistake. Handle each field on its own terms.

The document

The photo and signature

Use Resize Image to match the required pixel dimensions, then Compress Image to get under the KB limit. Full steps: resize a photo and signature for forms.

Before you submit

  • Open every file and confirm it's still legible.
  • Check the file *format* matches (PDF vs JPG) — not just the size.
  • Keep the originals.

Do it now

Open Compress PDF for the document, or Resize Image for the photo.

Frequently asked questions

The form lists different limits for the document, photo and signature. Why?
They're different kinds of file. A document (PDF) is usually allowed 1–2 MB; a photo is often 50–200 KB; a signature image can be as low as 10–20 KB. Read each field's limit separately.
My compressed PDF is still rejected. What's wrong?
Common causes: the file is a KB over the limit (compress harder or drop a page), the format is wrong (some forms want JPG, not PDF), or the dimensions are outside the allowed range for a photo.
Is it safe to compress an official document this way?
Yes — the content is unchanged, it just becomes an image of the pages. As long as it's still clearly legible, portals accept it. Keep an uncompressed copy for your records.
